Cancellation fees can be a good deterrent against "no-shows" allowing better usage of your courts. You should consider applying the fee even if your facilities don't normally attract a usage fee. In addition, you can also collect a "No Show" fee if your hirer fails to turn up for the booking however at present there is no way for MyCourts to actually know if the hirer has turned up unless of course you manually check yourself.

Different fee amounts can be applied to different Facility Groups by navigating through the available groups for your setup.

The amount of the Cancellation Fee should be determined with a view to providing the hirer with a financial incentive to cancel the booking as early as possible giving fellow members the opportunity to use the facility. A "No Show" fee on the other hand is a penalty fee.

Here's how to implement a collection fee:

1. Open MyCourts Administrator to Setup - Facility Groups:

2. User Cancellations

<div style="OVERFLOW: hidden; Original payments made by PayPal or Credit Card will be recorded and the hirer advised to contact you to arrange a manual refund.

Allow Reimbursement:

If you do not allow Refunds you may offer to reimburse the hiring charge already paid if there is a subsequent hirer who hires the facility for either a part of the original hiring period or the whole period as the case may be. Toggling this option to Yes will force MyCourts to record the original hire and associated fee. Should a subsequent hire be made for part or all of that hire then it will also record the amount of the fee reimbursable to the original hirer.

If you do allow refunds then this option will automatically be set to No.

Check the following:

If using PayPal - enable PayPal as payment option. MCA → Web Services → Online Options → Hire Payment Methods → Accept PayPal .

In MCA → Web Services → Online Options II Check that members are allowed to cancel reservations.

MyCourts Online will automatically notify your user and yourselves should a login by one of your users fail. More details are located here.

In most cases, the attempt to login was most likely caused when someone with access to the computer where this user's login was saved accidentally clicked the login button on an older saved webpage or link. The chances of a hacker attempting to obtain the users data are extremely remote.

The cost of investigating the actual login source computer are considerable and time consuming. MyCourts Support will probably be able to ascertain the IP address of where the attempt was made however you or your user would then need to contact their ISP to ascertain who's ISP account was using that IP address at that specific time of day. If it wasn't your user then the ISP would probably require a Court Order before it would divulge such information to the people listed in the Court Order. That would most likely be your respective Police or Government body.

Unless the actual login was made within the last 24 hours or so, MyCourts Support would need to charge a fee to obtain the IP address details for you.

These conditions are in addition to other requirements that you can set elsewhere and are intended to compliment those requirements and not replace them.

When this function is enabled, MyCourts will check each enabled Policy and if any one of the Policies is not met then a message will be presented to either the staff member or the online web user informing them of why MyCourts cannot proceed with making the reservation. If you have allowed the staff member to override the policy, the staff member can elect to continue with the reservation in the normal manner. In the case of an online web user, they will need to modify the reservation request and try again. In the case of an offline web user they will receive an email advising them of why the reservation cannot be recorded.

When you are in Reservations Policy in MyCourts Administrator, press F1 or click the Help button for more detailed explanations of policy.

Recording Player Information

The current Covid-19 Pandemic has highlighted the need for everyone to keep a record of who they have come into contact with. This is particularly important when contacts are not normally closely involved within family circles.

MyCourts makes it easy to keep a record of the players when the member makes their booking online. They can also update the information as and when required online.

The following steps are required to implement this function:

Open MyCourts Administrator to the following screen:

The number of players that a member can enter into MyCourts can be selected from 1 to 4. Selecting only one will mean that the only player you will record is the hirer themselves. The Minimum number defaults to one and therefor no other player details are required.

If you select 2,3 or 4 as the Minimum then the hirer will not be able to make the reservation unless they complete the required information. For example:

When 2 players are specified, the second player's information must be entered.

There will be occasions when the hirer may not be aware of the additional player's details at the time of making the booking. Similarly, they may decide to change the players between the time of the booking being made and played.

To enable this, in MyCourts Administrator, navigate to the following page:

You will need to enable members to see their own Reservations page as well as allow them to update the players information. If you do then your members will be able to update the information online whenever they need to:

Console Operators of MyCourts will be presented with the ability to enter player's details when they make the booking. Console operators will be able to disregard entering the other player's details and we leave that action to Club Management to manage as required.

Windows Services used by MyCourts

MyCourts utilises two Windows Services to maintain and provide access to the MyCourts Database engine and associated services. These Windows Services must be running for you to use MyCourts on your computer/network as well as provide web access for your users.

The two Services are MCDBService and MCService:

The MCDBService manages your MyCourts database engine which in turn provides access to the database by the various programs making up the MyCourts suit of programs.

The MCService manages the database maintenance as well as reminders, periodic processing tasks etc.

Both services are set to start automatically when your computer starts. The MCDBService service will at least once per day be temporarily stopped so that the MCService can optimize the database. This usually occurs at around 4 am but may be invoked at computer startup if the maintenance was not performed at the set time for any reason.

You may start these services manually if for any reason they are not running.

MyCourts database is a file based database that performs very well however like all file based databases there comes a time when the operating system will slow down the process of locking and unlocking either portions of the file or the whole file itself depending on what you are processing on the database at the time. History has shown that by far the majority of 'errors' that MyCourts throws from time-to-time are caused by the poor maintenance of the database file itself. These errors are even more common when you are pushing the use of the computer towards its maximum useful capacity combined with poor computer self-maintenance.

To help maintain your database in top performance, from MCManager, run the Maintenance program at least every 3-4 weeks. To really optimize your database, run the MCDBManager at least every 6 months or so.

MCDBManager is a program that is in the format of a wizard. It will guide you step-by-step through the process of removing long outdated information as well as completely remove members who have long since moved away from your club. You can chose to remove data prior to a certain date and/or other criteria and you can run the program as often as you wish.

Here's the opening screen:

The program is available by clicking this link.

Once downloaded, unzip the contents into a directory of your choice and run the program.

During your Trial Period and whilst you have a current subscription in place, MyCourts Support will most likely be provided in real time. This is achieved using Connect Wise Control. Once you have installed the MyCourts Support package we will be able to logon in real time and operate your computer as if we were sitting at your own console. If you leave the program installed, we will also be able to monitor your computer/MyCourts and provide support automatically whenever a problem is reported to us by MyCourts itself.

You are not however automatically entitled to this level of support. You or your staff should not expect us to login and configure MyCourts nor setup PayPal or any other function other than ensuring MyCourts works as advertised. If there is an issue with MyCourts, we are happy to login and investigate the issue as well as fix it. It is up to your own staff to maintain/configure MyCourts which is not normally an onerous task. If your staff are not for whatever reason able/willing to carry out those functions then we will be happy to quote a fee for doing specific and mutually agreed work on your behalf.

NOTE:

Once the program is installed, it will run continuously in the background even after re-booting. You will need to consider both the Security and Privacy concerns you or your business may have with giving us this level of access. In essence we will be able to monitor your machine 24/7.

If you wish to uninstall the MyCourts Support program at any time, just uninstall it from Add/Remove programs shortcut.

Cookie Policy

Aquarius Communications (MyCourts) use cookies and similar technologies when:

you visit, interact with or use any of our websites, social media pages, mobile apps, online advertisements, marketing communications.

you use our products and services (including mobile apps) that have been deployed by one of our customers,

It explains what these technologies are and why we use them, as well as your rights to control our use of them.

In some cases, we may use cookies and similar technologies to collect personal information, or information that becomes personal information if we combine it with other information. In such cases our Privacy Policy will apply in addition to this Cookie Policy.

PART I: OUR USE OF COOKIES

What are cookies?

Cookies are small data files that are placed on your computer or mobile device when you visit a website or use an online service. Cookies are widely used by organizations in order to make their websites or services work, or to function more efficiently, as well as to provide reporting information. There are two types of cookies: session cookies and persistent cookies. Session cookies are stored in temporary memory, not retained after an end-user's browsing session ends and do not obtain information from the end-user's device. On the other hand, persistent cookies persist on the end-user's device in the browser's subfolder and are activated again once you visit the site that created the particular cookie and remains for the duration period set within the cookie's file.

Cookies set by the website or service operator are called "first party cookies". Cookies set by parties other than the website or service operator are called "third party cookies". Third party cookies typically enable certain third party features or functionality to be provided on or through websites or services (such as, advertising, interactive content and analytics). The parties that set these third party cookies can recognise an individual's computer both when they visit the website or use the service in question and also when they visits certain other websites.

What cookies do we use and why?

There are three types of cookies that we may use:

Required cookies: These are cookies, also known as 'essential' cookies, that are required for technical reasons in order for online Properties and Services to operate. We may, for example, use the information collected using required cookies to alert you that a newer version of such software is available and/or if your subscription is going to expire. Without these cookies, services that you have asked for cannot be provided. We want you to understand these required cookies, and why we use them, but we don't need to get your consent to use them on our online Properties and Services as we use these cookies only to provide you with services or information that you have requested.

Functional cookies: These cookies may be used to enhance the performance and functionality of our online Properties and Services; to manage your preferences; to analyse and personalize your use of, or to generally help us better understand how, our online Properties and Services are being used. We think that these cookies will improve your experience when using the online Properties and Services but are non-essential to their use. As such, you may disable these cookies as set forth below, however please be aware that, without these cookies, certain functionality (like videos) may become unavailable.

Advertising/ targeting cookies: These cookies are used to make advertising messages more relevant to you. They perform functions like preventing the same ad from continuously reappearing, ensuring that ads are properly displayed for advertisers, and in some cases selecting advertisements that are based on your interests. You may disable the use of these cookies as set forth below.

Some of our Services use cookies served by Google Analytics to collect limited data directly from end-user browsers to enable us to better understand your use of the Services, including making use of the demographics and interests reports services of Google Analytics. Where our Services leverage Google Analytics and associated cookies we may provide additional information within the relevant privacy notice. Further information on how Google collects and uses this data when an end-user uses these Services can be found at www.google.com/policies/privacy/partners/. You can opt-out of all Google supported analytics within the Services by visiting https://tools.google.com/dlpage/gaoptout/.

Aquarius Communications operates certain product improvement and user experience programs relating to our Services, as set out in more detail in our Privacy Policy. These programs may involve the use of cookies and similar tracking technologies.

PART II: OUR USE OF SIMILAR TECHNOLOGIES

What similar technologies do we use?

Cookies are not the only way to recognise or track users of our online Properties and Services. We may use other similar technologies from time to time, like web beacons (sometimes called "tracking pixels" or "clear gifs") to track users of our online Properties and Services. These are tiny graphics files that contain a unique identifier that enable us to recognise when someone has interacted with our online Properties and Services, such as opening an e-mail that we have sent them. The use of web beacons (or similar technologies) allow us, for example, to monitor the traffic patterns of users within our online Properties and Services, to deliver or communicate with cookies, to understand whether you have come to our online Properties from an online advertisement displayed on a third-party website, to improve our online Properties and Services, and to measure the success of e-mail marketing campaigns. In many instances, these technologies are reliant on cookies to function properly, and so declining cookies will impair their functioning.

What about Flash Cookies or Local Shared Objects?

Our online Properties and Services may also use so-called "Flash Cookies" (also known as "Local Shared Objects" or "LSOs") to, among other things, collect and store information about your use of our Services, fraud prevention and for other site operations.

If you do not want Flash Cookies stored on your computer, you can adjust the settings of your Flash player to block Flash Cookies storage using the tools contained in the Website Storage Settings Panel. You can also control Flash Cookies by going to the Global Storage Settings Panel and following the instructions (which may include instructions that explain, for example, how to delete existing Flash Cookies (referred to "information" on the Macromedia site), how to prevent Flash LSOs from being placed on your computer without your being asked, and (for Flash Player 8 and later) how to block Flash Cookies that are not being delivered by the operator of the page you are on at the time).

Please note that setting the Flash Player to restrict or limit acceptance of Flash Cookies may reduce or impede the functionality of some Flash applications, including, potentially, Flash applications used in connection with our online Properties and Services.

PART III: OUR USE OF TARGETED ADVERTISING

Aquarius Communications may track and analyses both individualized usage and volume statistical information related to your use of our online Properties and Services. We also partner with third parties (such as advertisers and ad networks) to display advertising on our online Properties and/or to manage and serve advertising on other third party sites.

These third parties use cookies, web beacons, pixel tags and similar tracking technologies to collect and use certain information about your online activities, either on our online Properties, our Services and/or other third party sites. This information may be used alone or in combination with information about you we obtain from other sources (like our data partners) and contact details, professional information and VMware transaction history to infer your interests and deliver you targeted advertisements and marketing that are more tailored to you based on your browsing activities and inferred interests ("Interest Based Advertising"). Such Interest Based Advertising will only be delivered where permitted by applicable law and in accordance with your advertising / marketing preferences.

Our third party service providers may also use cookies or similar technologies to collect information about your visits to our online Properties, the Services and/or other third party sites to measure and track the effectiveness of advertisements and our online marketing activities (for example, by collecting data on how many times you click on one of our advertisements).

PART IV: YOUR OPTIONS TO CONTROL OUR USE OF COOKIES, SIMILAR TECHNOLOGIES, AND TARGETED ADVERTISING

How can you control our use of cookies, similar technologies, and targeted advertising?
You have the right to decide whether to accept or reject cookies (apart from those that are required or essential).

You can exercise your preferences in relation to cookies served: (i) on our Online Properties by using our cookie consent tool; and (ii) through our Services, by clicking on the Google Analytics opt-out link provided above, by visiting similar opt-out pages of other parties who serve cookies, or by setting or amending your browser controls as described below.

Browser controls: You can set or amend your web browser controls to accept or refuse cookies. If you choose to reject cookies, you may still use our online Properties though your access to some functionality and areas of our online Properties may be restricted. As the means by which you can refuse cookies through your web browser controls vary from browser-to-browser, you should visit your browser's help menu for more information.

Disabling most Interest Based Advertising: Most advertising networks offer you a way to opt out of interest based advertising. If you would like to find out more information, please visit http://www.aboutads.info/choices/ or http://www.youronlinechoices.com.

Opting out of tracking via your mobile device: If you are using a mobile device, you can opt out of having your mobile identifier used for certain types of Interest Based Advertising, including those performed by us, by accessing the settings in your Apple or Android mobile device and following the most recent published instructions. If you opt-out, no further data collection or tracking will occur. This means that if at a later stage, you decide to opt-in, we will not be able to continue and track you using the same ID as before and you will for all practical purposes be a new user to our system.

Do Not Track: Some Internet browsers - like Internet Explorer, Firefox, and Safari - include the ability to transmit "Do Not Track" or "DNT" signals. Since uniform standards for "DNT" signals have not been adopted, our online Properties do not currently process or respond to "DNT" signals. VMware takes privacy and meaningful choice seriously and will make efforts to continue to monitor developments around DNT browser technology and the implementation of a standard. To learn more about "DNT", please visit "All About Do Not Track".

PART V: UPDATES AND FURTHER INFORMATION

How often will we update this Cookie Notice?
We may update this Cookie Policy from time to time in order to reflect, for example, changes to the cookies and related technologies we use or for other operational, legal or regulatory reasons. Please therefore re-visit this Cookie Policy regularly to stay informed about our use of cookies and related technologies.

The date at the top of this Cookie Policy indicates when it was last updated.

Where can you obtain further information?
If you have any questions about our use of cookies or other technologies, please email us at sales@aquacomm.com.au.

This may require further investigation on your part but please refer to this KB Article first.
