Reservation Policy allows you to create conditions that must be complied with before a reservation is accepted for processing. These conditions are in addition to other requirements that you can set elsewhere and are intended to compliment those requirements and not replace them.

When this function is enabled, MyCourts will check each enabled Policy and if any one of the Policies is not met then a message will be presented to either the staff member or the online web user informing them of why MyCourts cannot proceed with making the reservation. If you have allowed the staff member to override the policy, the staff member can elect to continue with the reservation in the normal manner. In the case of an online web user, they will need to modify the reservation request and try again. In the case of an offline web user they will receive an email advising them of why the reservation cannot be recorded.

When you are in Reservations Policy in MyCourts Administrator, press F1 or click the Help button for more detailed explanations of policy.

Recording Player Information

The current Covid-19 Pandemic has highlighted the need for everyone to keep a record of who they have come into contact with. This is particularly important when contacts are not normally closely involved within family circles.

MyCourts makes it easy to keep a record of the players when the member makes their booking online. They can also update the information as and when required online.

The following steps are required to implement this function:

Open MyCourts Administrator to the following screen:

The number of players that a member can enter into MyCourts can be selected from 1 to 4. Selecting only one will mean that the only player you will record is the hirer themselves. The Minimum number defaults to one and therefor no other player details are required.

If you select 2,3 or 4 as the Minimum then the hirer will not be able to make the reservation unless they complete the required information. For example:

When 2 players are specified, the second player's information must be entered.

There will be occasions when the hirer may not be aware of the additional player's details at the time of making the booking. Similarly, they may decide to change the players between the time of the booking being made and played.

To enable this, in MyCourts Administrator, navigate to the following page:

You will need to enable members to see their own Reservations page as well as allow them to update the players information. If you do then your members will be able to update the information online whenever they need to:

Console Operators of MyCourts will be presented with the ability to enter player's details when they make the booking. Console operators will be able to disregard entering the other player's details and we leave that action to Club Management to manage as required.

Adding Headers and Footers to reports is easy. Once you click on Print, the Print Preview window is displayed:

Step 1:
Click on the Headers and Footers icon.

Step 2:
The Headers and Footers window is displayed.

Step 3:
Align the specific text area. In this case we have aligned the header to the bottom so that it appears below the pre-configured report header.

Step 4:
Insert the text you want either in the left, centre or right hand area boxes.

Step 5:
Clicking on one of the available icons will enter the appropriate text.

Click OK and the Headers and Footers will be added to your report.

MyCourts Reports is a standalone application that you can use to create your own customized reports. Whilst the ability to print and export data directly from the various tables and grids available in MyCourts will meet most needs, these Reports can quickly provide all the data in your own customized format to help manage your Club.

Unfortunately, designing your reports is not exactly child's play but there are several resources available to help you. These include:

Online webcasts.

We are anxious to assist with the creation of standard reports so if your club thinks that your report, or desired report, would be of general use to others, please email us your requirements and we'll put together the report for you.

Locate the Database, Program and Templates Directories

There are times when you may need to access MyCourts database or program directory. For example, when moving MyCourts to another computer.

The database is located in a directory that can be chosen by you when you install it. These advices can only give you information as to where the directory is if you selected to use the DEFAULT directory at installation time.

The database directory location is also dependent upon whether you chose to install MyCourts for ALL USERS or JUST ME at the time of installation.

In addition, the database directory is located in a HIDDEN directory and therefor is not normally visible in Windows Explorer. You can show hidden directories in Windows Explorer by enabling this option in Windows Explorer itself. To do this in Windows 7 :

MyCourts database is installed in the following directories by default:

Windows XP:

C:\Documents and Settings\All Users\Application Data\Aquarius Communications\MyCourts\Resources

Windows Vista, Windows 7, Windows 8, Windows 10

C:\ProgramData\Aquarius Communications\MyCourts\Resources

MyCourts program directory is located at:

Windows All Versions (including x64)

C:\Program Files\Aquarius Communications\MyCourts

MyCourts User Editable Documents

Various files also exist that you can edit. These files are generally used by MyCourts in designing your web site, email replies etc. They are located in C:\MyCourts on all Windows Operating systems.

    html,body { border: 0px; }

Almost all tables and views available in MyCourts, including
graphs, can be printed or saved in almost every common format including PDF,
HTML, MHT, RTF, Excel, CSV, TEXT or as an IMAGE in various formats.

Many views can be 'right clicked' and immediately exported or
viewed, others require you to select the Print icon which will take you to the
Print Preview screen.

The following image shows the popup menu after right clicking in the Tennis Courts Group grid:

Export Data in various formats

The Accounting and MyCourts Administrator grids provide all the necessary data access for you to preview and export data to your accounting package. In addition, you can add your own account and stock codes making it easier to match your accounting packages codes with the equivalent MyCourts account codes.

You should first ascertain what data you actually need and this will of course depend on your individual requirements. If you need to import data into an accounting package then you should first ascertain what data the accounting package needs and it's format. You also need to know whether you need details of each individual item or transaction or whether totals for each category will suffice.

The following example details how to obtain information in relation to each financial transaction (sales, purchases etc) that have taken place in MyCourts.

First of all select the table/grid you desire :

You will notice we have already included AC Codes for each of these Accounts. These AC Codes are the same codes used in your Accounting Package.

Then click on Print and the Print Preview window will open:

There are many options available to you however we have selected the drop down arrow for the Export Document icon and you can see we have chosen, in this case, XLS File. Most users of accounting packages will be used to using Excel and will feel comfortable using Excel as the source document to import data into their accounting package. However, you can also import the data into your accounting package directly with a CSV File.

When you select the Export Format you will be able to configure the format of that exported data. For example, if your accounting package requires commas as the text delimiter in a CSV file you can just accept the default:

Depending on the choice of export you made, you will then be asked to save the CSV file, open the Excel document etc as applicable.

The following is an example of the Excel file generated by MyCourts:

The ability to export data in CSV format or to Excel, PDF etc is available in most grids or tables.

We do not provide instructions for individual accounting packages however you will find instructions on the format of the data that your accounting package requires in the relative manual or help pages of the accounting package concerned. Once you have exported the data from MyCourts, follow your accounting package's instructions on how to import that data.
